AI-powered OCR For Smart Digitalization of Data

By blueribbon
https://blueribbontechnology.com/blog/ai-powered-ocr-for-smart-digitalization-of-data/Artificial Intelligence (AI) is revolutionizing every sector of the economy. However, the major benefit of AI common across various work environments and sectors is its role in providing faster and more efficient document analysis from Big Data. Today businesses are heavily dependent on documentation. Still, the continuous influx of data has led to creating a massive pile of electronic or physical documents in almost every sector, making the use of Artificial Intelligence for automated document analysis critical. This is where Optical Character Recognition comes into play as it provides a seamless route to read and convert stacks of physical texts into editable data. It is an area of computer vision, which processes text images and converts that text into machine-readable forms. Subsequently, the AI technology has immensely transformed the capabilities of (OCR) Optical Character Recognition tools and has made it an extremely vital organ for data extraction and processing.  We know that the human brain can generally recognize the characters/text from an image, however, since machines have non-volatile memory, they can store digitized data, for a more extended period of time. AI-backed OCR is undergoing a plausible revolution with the added possibilities and benefits of Deep Learning and Machine Learning. It has become possible to integrate AI with Natural Language Processing (NLP), easily mimicking complex brain functions.  Optical character recognition tools are undergoing a quiet transfiguration as ambitious software providers combine OCR with AI. Today, OCR platforms are heavily being used to convert handwritten or printed text into machine-encoded text so that it can be accessed on a computer. It is a need of the hour to design machines that can stably recognize patterns. From automated OCR to Speech Recognition, Face Recognition, Fingerprint and Facial Identification, DNA Sequence Identification, and much more. Machine Learning and Artificial Intelligence backed technologies are helping save hours for businesses. By benefiting from these propelling technologies, business operators can streamline this process and consolidate the entire procedure into a high-speed driver of productivity. Contrary to popular belief, AI-based document analysis is not just an automation of data processing operations but is also a means of improving the accuracy and efficiency of the data that is interpreted from each document.

What is an OCR?

Optical Character Recognition (OCR) is an Artificial Intelligence backed technology that allows users to convert paper documents and images into editable text or PDFs. The main aim of OCR is to transform a picture of a text into the text itself. But what does this actually mean?  Imagine you have an image that contains words (e.g., a JPEG of an invoice slip ). With AI-powered OCR, you can scan the image of the invoice slip and convert its data into an editable PDF document. This can ease your search process for the data and eventually help you deduct frauds.

How Does AI-OCR Help In Document Analysis?

The process of OCR is a composite activity that comprises different phases. These phases are as follows:
  • Image acquisition
  • Preprocessing
  • Character segmentation
  • Data Extraction
  • Character Classification
  • Post Processing
Image Acquisition The initial step of OCR comprises obtaining a digital image of the data and converting it into a suitable format that the computer can efficiently process. This involves compression as well as quantization of the images. On the whole, this step includes digitization, binarization, and compression of the images to make it suitable for further process of data extraction by machine. One of the critical pre-processing techniques is thresholding. It aims to binarize the images based on some specified threshold value. Different filters such as averaging, min, and max filters such as Noise removal, Skew removal can be applied in this step. Alternatively, various morphological operations such as Dilation, Erosion, Opening, and Closing if required, are to be performed. Character Segmentation In this step, the images are segmented into various characters before being passed to the classification phase. The segmentation can be performed implicitly or explicitly as a by-product of the classification phase. In addition, the other stages of OCR can help provide valuable contextual information for the segmentation of the image. Feature Extraction In this stage, various features of characters are extracted from the images. These features uniquely identify characters. The selection of the right components and the total number of features to be used is an important research question. Different features such as the statistical feature (moments) and geometrical features (loops, strokes) can be used. Classification This step is defined as the process of classifying a character into its appropriate category or class. The approach to classification is based on relationships present in image components. The statistical approaches are based on the use of a discriminate function to classify the image. Some of the statistical classification approaches are the Decision tree classifier, Neural Network classifier, nearest neighborhood classifiers, etc. Finally, there are classifiers based on an advanced approach that assumes a grammatical approach to compose an image from its sub-constituents. Post-processing Once all the characters are classified from the image, various approaches can improve the accuracy of AI-OCR results. One of the main approaches is to use more than one classifier for the classification of the image. The classifier can be used in parallel, cascading, or hierarchical fashion. The outcomes of the classifiers can then be amalgamated using various approaches. Various contextual analyses can also be performed to improve the OCR results. Intelligent Document Processing makes the processing of complex documents much more straightforward. With OCR, the usually arduous task of obtaining insightful outputs gets completed within seconds and with higher accuracy. Intelligent Document Processing utilizes several other subsets of AI like Natural Language Processing, Machine Learning, Deep Learning, Computer Vision, etc.

Conclusion

Digital notes are often at an advantage in these cases because they are easily searchable and can be synced across multiple locations and devices. Using AI-powered OCR for your business can pave the way for improved communication and greater collaboration, improving staff productivity and controlling fraud detection of the organizations.
